The "Your data / Employees" section in Figures is crucial for setting up your compensation review campaign. Here, you'll manage employee eligibility, designate promotions, and assign exceptional bonus eligibility. This article guides you through these important processes.

Managing Employee Eligibility

Using Filters for Eligibility

  1. Navigate to "Your data / Employees" in your Compensation Review campaign configuration.

  2. Use available filters (e.g., hire date, job title, department) to select employees.

  3. Apply filters to include or exclude employees as needed.

Use filters creatively to efficiently manage large groups of employees. All your additional fields can be used as filters.

Updating Eligibility Status

  1. Select employees using checkboxes or filters.

  2. Click "Update eligibility" at the top of the page.

  3. Choose to make selected employees eligible or ineligible.

Managing Individual Exceptions

  1. Find the specific employee in the list.

  2. Check the box next to their name.

  3. Use "Update eligibility" to change their status as needed.

Managing Promotions

Designating Employees for Promotion

  1. Select employees individually or use filters.

  2. Click "Update promotions" at the top of the page.

Promotion Process with Salary Bands Module

If your organization uses Salary Bands:

  1. Choose the new salary band range for the promoted employee.

  2. By default Figures suggests the next level (e.g., intermediate to senior).

  3. Manually adjust if needed (e.g., senior developer to team lead).

Promotion Process without Salary Bands Module

Without Salary Bands, the promotion designation simply flags the employee for promotion during the review.

Assigning Exceptional Bonus Eligibility

If Exceptional Bonus is enabled in Compensation Items:

  1. Select employees individually or use filters.

  2. Click "Exceptional bonus eligibility" at the top of the page.

  3. Choose to make selected employees eligible for the exceptional bonus.

While Figures ensures you complete these steps before the campaign starts, it's crucial to double-check all selections for accuracy. Errors can't be corrected once the campaign begins.

Keep a record of the criteria and decisions made during this setup process. This can be valuable for future reference and ensuring consistency across review cycles.


Communicate

Brief relevant stakeholders (like HR business partners or department heads) on the criteria used for eligibility, promotions, and bonuses to ensure transparency and alignment.

Anticipate and prepare responses for potential questions from managers or employees about eligibility and promotion decisions.
