Roles and permissions

Manage roles and permissions to control who accesses which content.

To decide who can access which parts of Figures, go to the Permissions Center.

The 4 levels of access

1. What your company has purchased

You can only use features that your company has subscribed to.

Example: If your company hasn’t purchased the Salary Reviews module, no one will have access to it.

2. Default roles in Figures

Each user has one of the following roles:

  • Admin

  • HR

  • Manager

  • Recruiter

  • Employee

This role defines the default access to some parts of the platform (see below).

3. Custom roles set by your company

Your company can adjust which features are available for each role.

Example: Your HR role normally includes access to the Benchmark, but your company has turned it off for HR → you won’t see it.

4. Individual permissions

You can also give specific access to individual users, even if their role doesn’t normally allow it.

Example: An employee can be given access to their own salary grid, even if the employee role doesn’t include it by default.

Assign role to a new user

To set a new user’s role:

Go to Users > Invite a user > Permissions > Role.

Automatic role assignment for managers

Figures simplifies the process for managers by automatically granting them access to managerial features based on their direct and indirect reports. This ensures that managers have the necessary tools to oversee their teams' compensation data without manual intervention.

Customize role permissions

If you are an admin, you can edit what each role can access. Changes apply to all users with that role.

Example: You can remove access to market data for the HR role.

How to do it:

  1. Select the role tab you want to edit

  2. Choose the items you want to change

  3. Click Save

Give individual permissions

⚠️ Only available to admins.

Give access to salary grids

  1. Select the relevant version of the grid

  2. Open the Sharing Center

  3. Select the grids you want to share

  4. Click Share selected grids

  5. Select the team members to share with

  6. Click Share

Default access by role

💡 Managers get additional permissions on top of their other roles.

For example, someone can be both Manager + HR or Manager + Employee.

In that case, the most permissive rights apply.

What Admins can do that other roles can't

  • Invite or remove users

  • Manage integrations (e.g., with your HRIS)

  • Set up the compensation policy

  • Respond to company surveys

  • Map employees

  • Edit access in the Permissions Center

  • Access the company dashboard

What HRs can do that other roles can't

  • Respond to company surveys

  • Map employees (with possible limits depending on business unit settings)

  • Access the company dashboard
