This document provides detailed instructions on how to enable and use the Business Unit (BU) restriction feature. This feature is designed to allow companies to limit HR role access to specific Business Units, thereby ensuring that HR personnel can only view employee data and compensation details relevant to their assigned BUs.
Configuration Steps
⚠️ To begin, access to the Business Unit feature must be requested. Please contact our support team to enable this feature for your account.
Configuring Business Unit data
If you have an integration between Figures and your HRIS
Go to Account > Data & intégrations.
Click on the Configure button of your HRIS integration
In the Custom fields section, choose the appropriate field from your HRIS that corresponds to the Business Unit.
Ensure you run a synchronisation by navigating to Imported Employees / Update from Integrations.
If you don’t have an integration between Figures and your HRIS
Go to Account > Imported Employees.
Click on Manage Additional fields
Follow the on-screen instructions to download the template, input your BU data, and upload the sheet back to the platform.
Enabling Business Unit restrictions
Go to Account > Permissions center
Enable Business Unit restriction to activate access limitations based on BU.
Linking HR Users to Employees
To ensure accurate enforcement of BU restrictions, it is important to correctly link users with HR roles to their respective employee profiles. This allows the platform to dynamically adjust permissions when an employee changes their team or BU.
Go to Account > Users.
Select the employee with the HR role you want to restrict access to.
Ensure that the "Mapped employee" field is filled in with the corresponding employee for this user.
Managing HR Role access
After completing the above configurations, HR users will only be able to access data for their specific Business Unit. To grant a user access to additional Business Units, follow these steps:
Go to Account > Users.
Open the profile of the user you want to grant access to.
Scroll down to the bottom of the user form.
Select the additional Business Units you want to add to their permissions.
