How to setup Hibob integration

Prerequisites

To connect your HRIS, go to the Data & integrations section of your Figures account and follow this step by step tutorial.

You are an admin of your HiBob instance or an admin shared their access with you. This is necessary for retrieving the API credentials as explained later in this guide.

Create a new service user

  1. Log into your HiBob instance (or that of the admin account that was shared with you)

  2. Go to the service user tab of your settings by clicking on the link or following the step 3 and 4

  3. Go to Settings > Integrations

  4. In the search bar at the top, type in "Service Users" and click on the card that just appeared

  5. In the new window, click on New Service User

    ⚠️ Attention: when creating permissions for the Service User, please ensure that you are not sharing the same permissions to all your Hibob users ⚠️

  6. Enter a name for the service user,(i.e. "Integration Service User")

  7. Click Next

  8. Now you'll see the credentials of the service user, secure them in a safe as you'll need them later and they can only be viewed once

  9. Before continuing, make sure to add the necessary permissions to the service user

Configure necessary permissions for service user

  1. Go to the permissions settings by clicking this link or by clicking Settings > Permission groups

  2. In the top right, click Create group

  3. Enter a name for the group (i.e. "Integration service users")

  4. In the Group members section, click on Select people by condition

  5. Click Edit

  6. In the window that just appeared, go to the right of the Conditions section and click the delete button there to delete the default condition

  7. Then click on the dropdown below Add specific employees

  8. In the selection drop down, enter the name of the service user you created before and click the box right next to it

  9. Then click Apply

  10. When you're done, click Create > Confirm

  11. Switch over to the People's data tab

  12. Go to the People tab and open the dropdown, you need to select all the permissions that are needed for the integration. Here is the exaustive list

    • Address - View selected employees' Address sections
      (Necessary for location mapping and benchmarking purposes)

    • Employment - View selected employees' Employment sections
      (Provides FTE and employment type, used to exclude contractors/interns and calculate full-time equivalent salaries for part-timers)

    • Home - View selected employees' Home sections
      (Provides gender data for pay gap analysis)

    • Jobs - View selected employees' Jobs section histories
      (Essential for mapping roles)

    • Lifecycle - View selected employees' Lifecycle sections
      (Provides termination dates to remove former employees)

    • Payroll - View selected employees' Payroll section histories

    • Payroll - View selected employees' Payroll sections

    • Personal - View selected employees' Personal contact details sections

    • Personal - View selected employees' Personal sections

    • Work - View selected employees' Work section histories histories
      (Provides start dates, manager info crucial for Figures' permissions, and Employee IDs)

  13. Once you're done, click on Save button at the top right

  14. You will see a list of all permissions you granted. Please note: The screenshot below is just an example, your permissions will be different.

  15. Confirm the changes and click Apply

  16. Now you can enter the credentials that you stored earlier into the integration panel

💡 Please note that Figures never pushes data back to your HRIS.
