Update your employee data using a spreadsheet

If you don't have an HRIS integration, here is how to update your employee data with a spreadsheet to maintain data accuracy.

⚠️ The spreadsheet update should only be used if you can't connect to your HRIS system. Otherwise, update your employee using your HRIS integration.

Step by step

  1. Go to Settings and click on Data & Integrations. Make sure you click on the Spreadsheet tab.

  2. If you ONLY want to update data from employees that are already on Figures you may click on Partial Employee Data Update.

    Important: Comprehensive Employee Data Sync is an option that allows you to update but also to add new employees or delete employees from your Figures account via a Spreadsheet/Excel.

  3. Click on I already have a spreadsheet (since you already exported one as mentioned on the first point above)

  4. Select all the columns that you would like to upload or update.

    • Important: Please don't modify the headers from your export.

    • The only mandatory column is your employee number but please add all the columns you might need.

  5. Click on Import file

  6. Select your .XLS file from your computer and go through the upload file workflow

  7. Once done with the workflow, review the final confirmation.
    Do not hesitate to click on Preview to see an overview of the employees that will be updated.

  8. Click on Confirm to update your employees

Important

  • Change of salary, bonus or location: you won't have to do anything.

  • Change of job title, or level: They will appear as "Needs remapping" in your homepage. In that case, you'll have to change Figures mapping if needed and click on Submit.

  • New employees: Ttey will appear as "Unmapped" and you'll need to assign a Figures job, level and location.

  • If you have the Salary Bands module, make sure that all of your employees are mapped to a band (specially if you created new jobs, levels or locations).

Unmapped employees

New hires, if not mapped automatically, are listed under unmapped and need to be mapped following the instructions in our corresponding help articles.

When would they be mapped automatically, you ask? 🤔 This depends on the mapping conducted on the Mapping tab, as the latter will be saved and considered whenever new employees are added, thus facilitating automatic mapping which reduces your effort and saves you time.

Employees that need remapping

Changes to job, level, location, salary or bonus for already mapped employees on the other hand are imported and the respective employees assigned the status needs remapping. For every employee listed as such a change has been detected that needs to be confirmed by you.
